I coached a project manager who needed to get off the overwhelm edge and find a greater sense of balance between work and personal pursuits.
Part of the process was identifying his high-value tasks—those activities he excelled at and were of significant worth to his employer, clients, and team. We then listed all the lower-value tasks he was currently doing but could delegate to others.
The graphic below is a scenario of how this might look.
Once the activities had been categorised into high and low, we identified his team member’s strengths and weaknesses, what individual tasks and potential roles could be transferred, and then the necessary training/coaching the person might require.
Over time, there was a marked improvement in the manager’s personal sense of ease and focus, along with a heightened sense of engagement from his team.
It’s one thing to delegate individual tasks daily to the likes of a PA or EA, but it’s a whole other process to shift tasks and roles completely away from you.
